Approvers in PIP and PIP-IDM
An approver is a person in an organization who decides:
- who should use PIP
- what level of access each user should have
- when accounts should be unlinked or disabled
This role is usually filled by an owner, manager or supervisor. Organizations can have more than one approver.
Approvers must complete and submit a new Joint service and access policy confirmation document (PDF) to Service Desk when:
- a new approver is appointed
- a new approver is replacing an existing approver
- an approver leaves one facility and begins working as an approver at another
Approvers are the trustees of information stored in PIP. Trustees are responsible for collecting, using, sharing and protecting patient health information for their organization.
Approvers must take all reasonable steps to protect patient rights under The Health Information Protection Act (HIPA). For more information about trustee responsibilities under HIPA, visit the Government of Saskatchewan website.
Approver responsibilities
An approver is responsible for:
- making sure all PIP users at their facility complete the required training
- making sure users read the Joint service and access policy (PDF)
- reviewing registration requests in PIP Identity Management (PIP-IDM)
- approving or rejecting registration requests
- unlinking accounts when staff leave the facility
- making sure a new approver is chosen and registered before leaving the facility
- contacting the Service Desk to disable accounts for users who no longer need access (e.g. a user leaves the province)
- appointing an unlicensed delegate, if needed
- making sure PIP is used properly at the facility
- regularly reviewing user access by running access reports
Before leaving a facility, approvers must notify the Service Desk.

A replacement approver must be linked to the location before the current approver leaves. Every facility needs at least one approver.
Approvers must also tell the Service Desk if their facility is closing, unless it’s a pharmacy closure.

Approver actions in PIP
Approvers can run access reports in PIP. These reports list the people connected to their organization. Approvers can also download reports showing individual login activity.
Use these reports to help protect personal information and personal health information.
Run an approver access report
In the tools menu:

Open access reports.

Update the reporting period.
-
Select Refresh.

Choose the person’s name.

Select Print for a paper copy of the report.
